CALL TO ORDER: Opening remarks

COMMUNICATIONS:
***Caroline Parnell presented a letter of support for Rena as women’s coach, signed by 21 paddlers at end of season.
***Bruce Brooks – a solution for re-rigging the canoes to facilitate ease for our Rec paddlers needs to be found.
MINUTES: Approval of the minutes of July, August Board meetings – require that minutes be sent out the Monday following each meeting for board approval and posting on the website.
***July/August minutes on Jonathon’s printer at home. He will email them out to us and post on web after board edits. (Requirements stated were ‘Minutes go out to board members in 24 hours. They return within 48 hours and posting on the website happens in 72 hours).
REPORTS:
Treasurer:
Monthly Account – Budget update - Ken is absent, but Mary Brado took over.
Look at Kahanamoku Regatta - $1130.57. Budget was reviewed. Standard spreadsheet required for accurate comparison between races. Costs for next year’s regatta can be reduced some. Over all positive for the club.
Expenses until the end of the year are in good shape, … Shipping canoes to Molokai. Matching raised funds for Molokai Crews, expenses for Lilio – Jonathan will discuss. No actions required by Ken regarding transferring funds.
Athletics:
Timing between AD vote by membership in January and coach selections prior to March gave way to lengthy discussion on the timing of the AGM, and steps required to call an early meeting, or two.
Two issues – rule issue and coach selection issue. Amendment to bylaws to change rule issue.
Crimp on time to get everything done before general meeting. Recommend the bylaws at general meeting. Two general membership meetings - one to select and one to get.
Motion to make AGM for January 6th, Noon by Peter. All voting as well, Vote on bylaw to have AGM moved to December. Seconded by Mark and others. Passed. Need to start looking for AD. Determined the relationship of AD, board, and coaches Collegiate model was adopted. AD reports to the board, the coaches report to the AD.
Motion proposed by Bill, Rena seconded it. AD definition is in by laws, and policies… reporting process is not in policies and procedures. Fred voted… unanimous.
Nominating committee for AD and other board positions. Members of club should be on nominating committee. Mary volunteered to be on the nominating committee, as well as Rena, and Paul + three from general. Bill is contact person and will write notice to members about nominating committee and annual general meeting.//Jonathan, Ken, Peter, Chris, Lian are outgoing.
What about world sprints? Refer to HCRA for info on local trails and IVF website for Sacramento details. KCC has already submitted club paperwork. Individuals need to familiarize them self with sites. After Sept 20th HCRA will determine if trials are necessary for each division. Crews are self organized. Rosters in October. Trials in November. Sprints are in August, Sacramento.
After Molokai, race committee will approach members at large to see what they liked and didn’t like about the season and report on November Board meeting.
Off island racing HCRA, OCRA extend long distance require race transfers… Maui doesn’t require it. Keauhou isn’t a member of OCRA so transfers aren’t required. Examples include Dad’s Center???, Henry Ayou , Individuals doing Molo with other teams.
Race Secretary: ? No comment
Moku/HCRA: Meeting next week – please submit suggestions quick so they can go into the mix next week.
Jonathan, rule at fault between two boats in regatta, both clubs ‘will’ be disqualified. Takes judgement out of on water collision. Use term currently - ‘may’ .
Lane drawing done automatically, go on line during the week, and state preferences. Coach lays out choices for particular venue. The process is automated – based on results.
Operations: Rigging the boats after usage – Ken and Jane B.
Discussion – know how to rig. More classes? Shouldn’t be an onerous activity. Fair that boats should be returned in the state they were used. Consensuses is there is motivation to rig to use, versus rig not to use. More plan-ful and orderly manner in future. As many as 8 hulls go out in a day in rec paddling. Some time splitting the hour is necessary for time of year and extenuating circumstances.
One hull in rotation for repair 7 hulls are available (preference that three don’t get used (Kai pui oni, Iolana, Malia Kini, Makani Kai, Konawaena.) Mark moved that a post Lilio Rigging Party is made for getting the Rec Paddlers adequate boat access… so communication can be done as to which boats are to be paddled and which aren’t and why. Scheduled for the weekend after Lilio… because of boat being returned. And seconded, discussed and passed.
Old Business:
Backroads Proposal and Recommendations (Diane Sands’ July 6 Board presentation) – Bill Concerns with the KIC and tax issues led to enough concern with the board members that a straw poll 3 to 3 for and against. 1 would not recommend, but not opposed. Mary’s concern is the kids, Peter’s concern is volunteers (need 30ppl), Paul it is a business, equipment, etc. Motion Bill contact Diane Sands that we don’t proceed at this time. Paul seconded.. 4 to 3, Jonathon opposed the motion.
John Amundson—Mainland youth program use of canoes Come to Hawaii in January to train 2 hours/day. Need boats during daytime. 15-18 year olds. Paul motioned Mary seconded, discussion… all in favor did it.
Painting of the mural on Kailua pier barriers Painted the mural already done… ? ‘Konawaena’ is there -do we want Keauhou’s name on it? Lian will follow up with the teacher.
New Business: Peter is looking into selling all chase boat current parts around the Heiau and starting the process to buy a new one.
Ironman sign-ups - Jane B. There will be no prorating of the membership dues. The answer is ‘why’… the price is not that expensive.
Janie - anyone wanting to volunteer to help Sept 27th - Full Life program - talk to Duane Webster.
Peter - Algae bloom on the north side of bay… effluent is coming into the bay. Paul is contacting paper, etc. Its nasty.
