CALL TO ORDER:   6:34am

MINUTES: Approved from 4/11/08 meeting

REPORTS:

Communications:  Website still under reconstruction.  Making some progress.

Treasurer:   No report at this time.

Membership:     2008 Paid Membership now at over 400   169 racers, 263 recreational.  73 women registered for racing, over 35 youth, 52 men on MOKU 101.

Athletics:

Coaches’ boat:  Bill will write guidelines—Coach’s whaler boat will be used as an official’s boat for regatta and long distance races, lane setting, or for coaching purposes only.  It will not be available as an escort boat, rental, fishing, or for pleasure purposes.  Requests to use the boat, other than coaches, are made to the athletic director

Practices—good—more membershipin all programs.

Sheraton meeting—must license as vendor to work with hotel; our insurer will not support this at this time.  Outrigger—same turn out as far as no further development—could lease our boats to a vendor.  No further pursuit at this time.    Try to get in with a cultural dimension.  The insurance company has softened its position on hotel fund-raisers a bit.  A club can do a paddling fund raiser with hotel guests (the Sheraton example) on an occasional basis for donations as long as we are not advertising or doing it as a business.  The insurance company is revising its policy to allow that practice for a $50 basic fee or 5% of the donations whichever is larger.  The Sheraton's general manager would still be expecting us to be licensed as vendors which generates general excise taxes and could ultimately come back to affect our 501 (c)3 status.  This was also a caution forwarded by JR, our accountant, in his feedback about the Backroads proposal a year ago.  Individuals are able to incorporate themselves and license themselves as vendors, but the insurance might be prohibitive.

ERGOMETER-- up and running.  Being used. Women being tested currently.

Honu Triathlon—May 31st   Women’s world sprint crews have 2 aid stations at Honu & and one at Kona Marathon. Men’s world sprint crews have 1 aid station at Kona Marathon. Club has transition area at Honu Triathlon.

Matching funds clarification—sent out by Bill and currently for World Sprints only.  Molokai fund raising has been primarily done by the paddlers themselves.  There were two or three years when the Board chose to grant funds from its general fund for canoe transportation (about $2000 for 3 canoes usually with shared expenses with other clubs if sharing a trailer) and maybe registration fees once or twice.  Club funds have not been used to support flight travel, lodging or food expenses for Molokai paddlers.

Regatta sales—outside vendors must carry own insurance.

Halau usage—sailing canoe—June 8-July 18—Makalii.  Grief camp—informational at this point—still confirming details.  Possible have Makalii present at Regatta.  May do a recreational potluck breakfast with sailing canoe also.

Kawaihae Race—taking 6 canoes—borrowing 1 from Kawaihae—total of 7.

Canoe purchase planning—push to next meeting. What kind of new canoe?  Where from?

Paddle survey results—37% all wooden paddles only, 15% carbon fiber blades with glassed in edge, 33% carbon fiber blades with tape on edge, 15% any carbon fiber blade.    Board will encourage use of all wood paddles in our koa canoes, but carbon fiber blades may be used as long as edges are taped.  This stance will be re-evaluated at season’s end following evaluation of canoe repairs and MOKU’s ruling on the matter.  Board vote 8 in favor, 0 opposed, 1 abstention.

April 24 recreational paddlers meeting with Board—good interaction and discussion.  Perhaps pursue a similar meeting with racing members of the club.  Bill proposes we do these meetings at least twice a year.

Race Secretary:

Moku/HCRA:  Lane drawing for first regatta done electronically.  Went well and was well liked by clubs.

Defibrillator training--$50/head for training-no date set yet.  Sheryl volunteered to be the one paid for by MOKU.  Shawn, Lambert, Suzie, Moke are already trained.

Operations:

Canoe repair progress—best cover is with rollers—perhaps no need to purchase sprayer.

No repair on Lele Wa’a at this time.  There is a hole that requires patching.  Kalani is working on an estimate for patch repair.  Repair decision to be made when estimate comes in.

Canoe weighing went well.

Peter Greenwell’s trailer will be licensed to Keauhou Canoe Club and available to use for towing 3 boats at a time, as well as insured by us.

Old Business:

Scholarship fund decision—Board approves additional $1000 for scholarship fund in order to award 2 $1000/scholarships to candidates.  Ryan Daugherty of Konawaena HS and Melia Kalanui-Patton of Kohala HS are the winners of this year’s scholarship.

OHA grant not available until July.

Still working on logs and getting them to halau—club to possibly pay for removal and transport to halau.  Possible cost around $1000-1200.

We are interested in the booth Kailua Pier for the Hula Festival next year.

New Business:

July 5 regatta to do list—hats & shirts ordered and medals have also been ordered.  Terry is the event coordinator.  To do list passed around to board members.

Paddlers age requirements/swimming abilities-- Tabled till next meeting.

IVF fundraising party requested by Joreen—board is disinclined to approve use of the halau area for a fundraiser party—how to regulate traffic flow, noise level, etc.  Recommend they find another venue.  Bill to contact Joreen.

Next Meeting:   Friday, June 6, 6:30 am Teshima’s Restaurant—note that this is FIRST Friday in June

Meeting adjourned at 8:45am

Action list:

Bill & Jane to update task sheet for Founders’ Regatta which was passed around the board meeting.  List will be forwarded and replies by the Board back to Bill.

Bumper stickers—contact Jonathan—Jane.

Constantly remind people to lock sheds when finished.

Rinse boats after practice—Bill will put a sprayer on with a longer hose to reach all the canoes.  He will contact the coaches and put up a couple of signs in the area as reminders.  Sheryl to e-mail Cheryl about doing this.
