CALL TO ORDER: 6:33am

MINUTES:  Approved from 9/12/08

BOARD MEMBERSHIP:

VISITORS:  Tony Beaudet regarding proposal to run double hull canoe tours out of Keauhou Bay.  Use of private land means special permits not necessary to conduct business.  Historical & cultural aspect to be emphasized.  Possibly rent Keauhou boats until their boats are ready (approx. 4-5 months).  1 double hull to be possibly stored at Keauhou.  Will still need special use permit as we are required to have them for our events.  Offers $3000 /month for use of space and canoe storage—how does that affect our non-profit status.  Canoe would have 8 feet between hulls—ramp is not capable of accommodating.  Tony thinking of possibly re-pouring the ramp. 

Jane Dulaney & Michelle Bono—Article 2 of bylaws-success of women’s program keeps with this article.  Would like to ask Board members to craft a by law for members to display respect, sportsmanship, and personal responsibility.  Direct consequence of actions of some members at events surrounding Na Wahine o Ke Kai.  Helps to safeguard the future of Keauhou and further development of Keauhou Canoe Club. 

REPORTS:

Communications:   Website information—The program is free.  Waiting for info from webguy about ability to transfer webpage and costs involved.

Treasurer:  Still solvent.  Looks like we will have the money to make some major purchases at end of year.  Need to determine what those purchases will be i.e. 6 man canoe, 1-man canoes, etc.

Membership:  Still signing up new members in the recreational program.

Athletics: 

OC1/OC2 boat guidelines formulated.

Increased funding for Molokai crews.  Again to be determined at next meeting once transportation costs have been finalized.  Nothing additional to be given at this time.  Next year the Board can investigate the possibility of covering entry fees.

Konawaena HS paddling interest is phenomenal right now.  Practice starts next week.

Hualalai Academy has a coach (Jennifer McDaniel) and will be practicing out of Keauhou Bay as well.

Racing evaluation:  Bill shared the racer evaluations of the most successful regatta season in KCC's history given the points earned at regattas, the county and state championships for small/mid-level clubs, number of gold medals and overall medal count at states.  All racers who attended at least one practice were sent an evaluation by US mail and given three weeks to respond anonymously.  Percentages of return were as follows: 26% Women, 20% Men, 0% Youth and all conclusions are based on this sampling.  Overall positive responses ranging from 60-89% for men and women were seen for taking all qualifying crews, building the strongest crews in the most competitive lanes from the beginning of the season, and assuring that those who showed up at regatta were able to race at least once.  Over 70% of the racers had their expectations met and the majority had fun.  Work needs to be done on the crew challenge process about 40%  positive, the men's support of the novice programs 30% and women at 70%, and our recruitment, support and retention of new paddlers at 52% positive for women and 33% men.  All anecdotal comments were shared with both coaches and the Board for feedback and improvement of next year's program.  A parallel evaluation will be conducted with the long-distance racers at the conclusion of their seasons in October.

Race Secretary:

Carolyn submitted recommendations for race secretary.  Suzie does not have any additions and concurs with these recommendations.

Moku/HCRA:  Annual Meeting Oct. 18th –rule change amendments due at this meeting.

Operations: 

Boat racks have been reviewed—not long term storage.  Non-frequent users will have to give up space.

Halau Clean-up day probably not necessary as maintenance has been kept up.

Old Business:

2009 Club T-shirt design—committee still working on choices of designs, as well as t-shirt styles.  Deadline for t-shirts is Dec. 14th so they are available at Annual meeting.

Incumbents and new board candidates—Willing to serve again—Mark, Carolyn, Terry, Jane, Suzie, Shawn, Sheryl,  Bill.  Unable to serve again—Fred, Paul (term limit), Jane (term limit)  Unknown: Mary—haven’t heard yet.  Mark nominated as President candidate.  Jan nominated as Executive V.P. candidate.

Membership secretary as Board Officer position—needs by-law amendment.  Add position making 13 Board members.  Unanimously approved to make a by-law amendment to include the Membership Secretary as Board Officer position.  Amendment will go before members at the General Membership meeting on Dec. 14.

October 18 total club party—bringing the whole club together—recognizing those people that do a lot for the club.  2 live bands, catered food.  3:30—8pm. start time.

Gil is working on Lele Wa’a estimate—probably $8000-$9000 range.

Policy & Procedures Draft: deferred to next meeting.

Lease option request—both proposals need work.  Cheryl has made contact with hotels.  Both need to discuss with KIC/KSBE on their own.  Cheryl and Lauren need to remove KCC from proposal. 

New Business:

Bumper stickers or decals—Decals in white with paddler logo and Keauhou Canoe Club

Abott Gallaher OC1/OC2 race at Keauhou is Nov. 8th.

December Board meeting will be Decemeber 12th with current Board of Directors.  New Board will meet in January.
