VISITORS: Jane Dulaney discussing Code of Conduct. Brought example from Kai Opua. Also brought a request from Konawaena HS team for support in getting new paddles. Also requested that the HS team have a presence at general meeting in order to do a fundraiser.
REPORTS:
Communications: Website information—Need to find someone to transfer current website to more user friendly format or find someone to take up maintenance of current site.
Treasurer: We are tight on the budget right now. We need to watch our spending as we are at about a wash with this year’s budget.
Membership: Still signing up new members in the recreational program as snow birds are returning. Some 2009 memberships are already coming in…
Add line to membership form for targeted donations i.e. scholarship, maintenance, etc.
Athletics:
Carryover from Sept. and Oct. meetings--Increased funding for Molokai crews. Next year the Board can investigate the possibility of covering entry fees. Bill proposed that we contribute $750-1725 to Molokai crews to defer registration costs. Motion denied 5-3 due primarily to budget concerns because of canoe damage.
Long Distance Racing evaluation: Evaluations were sent out—only 7 have been returned (1 men’s, 6 women’s). Not enough information to summarize or evaluate.
Race Secretary:
Carolyn submitted recommendations for race secretary. Suzie does not have any additions and concurs with these recommendations.
Moku/HCRA: voted on Moku rule changes—Keauhou agrees with all Moku rule changes. Also voted on HCRA rule changes which Keauhou agrees to all with modification that all age groups should be subject to calendar year birthday and that the word “private” be dropped for the use of video for evaluation of protests.
Fred to serve as MOKU Representative on 11/22 HCRA representative at meeting on December 6th in Hilo.

Old Business:
2009 Club T-shirt design—design voted on at club party (Beth Cooper’s design won) and shirts have been ordered. Choice of t-shirts or tanks will be available to members with membership fee. Long-sleeve will be available for purchase.
Incumbents and new board candidates— Fred Giannini-President, Delegates at Large Suzie Bistline and Jane Bockus are not able to serve again in those positions. They have been terrific members of the KCC Board during their terms of office. The 2009 Officer candidates include Mark Wormley for President, Paul Aguirre for Executive V.P., Jan Kuivenhoven for Treasurer, and incumbents Sheryl Cobb for Recording Secretary , and Bill Armer for Athletic Director. Incumbent Delegates at Large candidates include Shawn Baker, Carolyn Strawn-Parnell, Terry Trinidad, and Jan War The by-laws require at least one and as many as three more at large delegates. Nominations from the floor will also be accepted for all of the above positions.
Membership secretary as Board Officer position—needs by-law amendment. That added position makes 13 Board members. Unanimously approved to make a by-law amendment to include the Membership Secretary as Board Officer position. Amendment will go before members at the General Membership meeting on Dec. 14. Jane has agreed to run for this position if the amendment is approved at General Membership meeting.
October 18 total club party recap—202 people attended. It was good fun. Terry would like to run fundraiser to fund this party in the future.
Policy & Procedures Draft: deferred to next meeting.
Abott Gallaher OC1/OC2 race recap—HIPA provided awards and beer. We made approximately $500 profit on the race.
New Business:
Canoe damage, insurance, repairs—6 canoes suffered damage. Konawaena and Kamalii Kai have already been repaired and are ready to be rigged. No claim to insurance on these canoes as repairs were less than the $500 deductible. Four other canoes suffered major damage. Malia Kini will be submitted to insurance as a claim to total. It is insured for $6500. Keauhou Kai will be submitted to insurance to repair. It is insured for $4000. We also had damage to 3 ama’s (1 puffy and 2 others) as well as 1 iako broken. These have all been submitted to insurance on Thursday 11/13. Kahanamoku and Maihi were not insured (Board had decided to drop insurance as we are mostly self insuring, these boats aren’t transported for races where most damage normally occurs, and expense of insurance was more than canoes would probably be valued. Best case scenario is that we will receive enough insurance reimbursement to cover the cost of 1 new canoe. Mark has priced canoes—Outrigger Connection Mirage--$9995.00, Bradley Lightning--$9900, Force Five--$8500 (all prices for complete canoes). Board agreed unanimously to submit order and deposit for new Bradley Lightning immediately in order to have boat delivered before 2009 regatta season. Contact by Mark and Mary to Outrigger Connection to explore used canoes and if none available—order a new Mirage.
Dues will remain the same as 2007--$75 for individual, $125 for family, $15 for each additional child. Also, a one-time canoe replacement assessment of $25 per adult member will be added to membership form. Passed unanimously.
Reimbursement of Vern Bieraugel for tree cutting will wait until we receive a bill. Pat Cunningham will receive hat, shirt and “honorary” membership for work removing tree stumps and moving logs..
Recycle Donation Station--$300 for locked (like used at county parks) bin to prevent theft of recyclables. Board unanimously approved.
No funding for Konawaena H.S. team paddles at this time due to canoe damage. High School team will be allowed to set up fundraiser booth at our Dec. 14th General Membership meeting to help raise funds for paddles. A request to make a donation to Nov. 22 Triathlon in Hilo for Papu Williams has been denied for the same reason.
Code of Conduct to be incorporated into membership form—Paul Aguirre to work on wording of this.
